Your Context.

That can take many different shapes across our ministries, but the Hospitality Minister will be part of the Welcome and Outreach Team. Welcome Team works to create environments where everyone is seen and celebrated so they have what they need to take their next step with God.

Your Role.  

Your primary focus will be building and leading teams that provide hospitality for Sunday worship services, ministry events and for weekly events/meetings. We use the term “hospitality” primarily to refer to food, drink, wayfinding and décor, however, it is expected that Hospitality Teams will contribute to the general atmosphere of “welcome” inherent in the Welcome Team’s mission at all events.

1. Build and lead Sunday Hospitality teams, contributing to the vision, clearly communicating with teams and ensuring a quality experience for our guests.

2. Work with Welcome and Outreach Minister to create the vision and build the teams for FCC all-church ministry events hospitality (3-5 per year).

3. Manage hospitality resources available to ministry and volunteer staff for their ministry events. You’ll help them have what they need to have quality hospitality at their events.

4. Ensure that meetings occurring at FCC during the week have appropriate hospitality provided.

5. Be part of the First Things First team, including providing a hospitality team to setup tables and décor, serve and clean up lunch and assemble the “give away” bags. First Things First is our quarterly orientation class for guests.

6. Lead a Setup Team that can provide support setting up tables, décor, etc., for a variety of ministry events.

7. Occasionally, FCC hosts large events led by local community organizations. Our Hospitality Minister will help us care for our guests well by providing a hospitality plan and team appropriate for the event (3-4 per year).

Your Work with Others.  

Nobody flies solo here. We’re a dedicated staff team and are all partners in what’s happening at FCC, so we work in unison and always have each other’s back. Your part of the equation looks like this:  

  • Participate fully with the FCC Welcome and Outreach Team by maintaining consistent office hours, taking initiative for your areas of responsibility and having a heart of service to see the entire ministry flourish.
  • Take two weekly 4-hour shifts as support for our Weekday Welcome volunteers who serve as receptionists during the week.
  • Partner with other FCC staff teams, such as Communications and Operations Teams, by submitting requests, communicating plans and offering appreciation so that our various Teams work together smoothly and effectively for overall church health.
  • Attend monthly All-Staff meetings.

Bonus Points. (special consideration given to candidates that also have these) 

  • Previous experience volunteering or serving on a church staff in the area of hospitality.
  • Previous experience in a hospitality-oriented business.

Our staff team works creatively to minister to people in all life stages, going to great lengths to make God’s love known to them. Our Executive Assistant is someone who’s ready to sweat the details so others don’t have to, enabling staff to pour themselves into their specific ministries. This position is critical to keeping things organized and running smoothly behind the scenes.

The ideal candidate is friendly and intuitive. Someone who lets nothing fall through the cracks and accommodates changes with ease. They’re flexible and able to look ahead to anticipate the needs of others, but they also have situational awareness to step into the given needs of the moment.

This position is for a true professional in administrative tasks and verbal and written communication. They understand that their ministry looks different than most of the staff and that they will often operate behind the scenes.

This role works closely with our Senior and Executive Ministers, facilitating details and ensuring they are set up to be as effective as possible. This position is vital to FCC’s ministry and ultimately our ability to care for the congregation.

Your Role.  

Support the Senior & Executive Ministers in the following general tasks, including but not limited to:

  • Coordinate schedules including meeting scheduling
  • Make room requests
  • Make communication requests 
  • Assist with verbal and written correspondence
  • Make travel arrangements and prepare itineraries
  • Order resources
  • Reconcile credit card transactions
  • Proofread 
  • Take minutes at All Staff Meetings and as needed
  • Provide event support for meetings and activities including Sr or Exec Ministers
  • Assist with coordination of staff fun efforts, including but not limited to: Annual Christmas Party, Annual Easter Eggstravaganza, Annual Spirit Week.  
Support the Senior Minister in the following specific tasks, including but not limited to:  
  • Be in communication as needed with Preaching Associate 
  • Coordinate meetings with high school students for annual Student Takeover Sundays
  • Coordinate development meetings with direct reports and senior minister annually.
  • Schedule and provide for Lunch & Learns with Sr Minister, Executive Minister and interns/residents.
  • As applicable, respond to, delete, or notify Sr Minister of his public email correspondences
  • Bereavement Cards
  • Men’s Ministry communication/admin support as needed
  • Coordinate appointments and welcome guests when appropriate

Support the Executive Minister in the following specific tasks, including but not limited to: 

  • Update regular and annual documents including Elders roster and employee handbook with information provided from Executive Minister
  • Generate monthly attendance and new member update for Elders agendas
  • Assist with Elder agenda draft and send
  • Manage staff schedules spreadsheet by semester
  • Development Review scheduling
  • Employee Handbook signatures
  • Scheduling compensation meetings 
  • Schedule Finance Team meetings  
  • Proofread FCC news
  • Assist with Resource Center additions and tidying  

Assist with administrative tasks related to Elder recommendations and election, including but not limited to:  

  • Manage recommendations list and send to Elder nominations team 
  • Assist with counting ballot responses at election

Assist with staff care:

  • Update Crushed-It list
  • Track hire anniversaries and update Exec Minister

Publish job openings for new hires:

  • Assist Executive Minister as needed
  • Coordinate food/supplies order and set-up for events
  • Schedule 2-hour onboarding meeting for new hire with Exec Minister 

Assist with Missions Team

  • Attend and take minutes at Missions meetings
  • Track Missions budget allocations
  • Communications with team
  • Coordinate annual evaluations and responses with various missions organizations and missionaries  

Your Work with Others.

  • Provide administrative support for Senior and Executive Ministers 
  • Maintain regular communication with Staff Leadership Team to stay aware of support needs across the staff teams
  • Engage in communication with Elders Council as requested
  • Engage in communication with Missions Team regularly 
  • Partner with other administrative team members for effective ministry across the Operations Team, including Business and Facility Team members
  • Assist with info emails, phones, doorbell, and front desk as part of the administrative team
  • Support front office volunteers 
  • Help staff members with questions/printing/admin tasks whenever able 
  • As needed, provide assistance to the Office Manager with printing 

Preferred Qualifications. (special consideration given to candidates with these skills) 

  • Previous experience as an administrative assistant for at least two years 
  • Proven experience handling sensitive information with great care and trustworthiness
  • Confidence communicating via phone
  • Relishes a challenge
  • Has a passion for administration and loves supporting the ministries of others
  • Willingness to be flexible and adapt as needs arise
